Facilities Manager Job Description Position Summary: The facilities manager is responsible for managing the planning, construction and maintenance of bank owned buildings and other leased facilities. The position plans, budgets and schedules facility modifications, including estimates on equipment, labor materials and other related costs. Major Duties and Responsibilities: * Upholds SmartBank Core Values and Core Purpose * Adheres to and embraces the SmartBank Way by Acting Smart, Looking Smart and Being Smart * Develops and implements a facility management program including preventative maintenance * Conducts and documents regular facilities inspections * Ensures compliance with health and safety standards and industry codes * Allocate and manages facility space for maximum efficiency * Supervises maintenance and repair of facilities and bank equipment including central services such as security, cleaning, waste disposal and parking * Oversees facility refurbishment and renovations * Coordinates space utilization including managing any intra/inter office moves * Assures appropriate physical security of the facilities * Provides prompt response to requests and issues from facility occupants * Negotiates and coordinates leases for bank leased properties * Negotiates lease occupants of bank's owned properties. * Partners with Marketing Department on branding of new offices acquired through mergers and acquisitions. * Manages contractor and vendor relationships to ensure facility management needs and goals are being met * Manages and review service contracts including negotiating contracts to optimize delivery and cost saving * Implements best practice processes to increase efficiency * Ensures delivery schedules, quantity and quality criteria are met * Checks completed work by contractors and vendors * Verifies payment and invoicing match contract pricing * Prepares and tracks facility budget * Monitors expenses and payments * Generates and presents regular reports and reviews of facility-related budgets, finances, contracts, expenditures and purchases * Advises on and monitor energy efficiency * Plans and monitors appropriate facility management staffing levels * Ensures efficient utilization of facility maintenance staff * Manages performance, develops and train staff * Oversees the construction and/or renovation of facilities * Manages relationships with contractors * Manages delivery schedules and quality expectations are maintained * Manages and report on project budget * Generates and presents regular progress reports and reviews of facility-related projects. * Complies with all applicable federal, state, and local banking and industry related laws and regulations including but not limited to the Bank Secrecy Act. * Performs other duties as assigned. Position Requirements and Qualifications: Education and Experience: * Bachelor's degree in Facilities Management, Facilities Engineering or related qualification such as project management, business management or construction management. * Working knowledge of principles and practices of project management, principles and practices of business administration, financial principles and practices, human resource management principles and practices, electrical and mechanical systems, procurement and contracts, health, safety and environmental regulations. * Experience in construction, maintenance and all facets of facility operation * Supervisory Experience Training Requirements (licenses, programs, or certificates): None Knowledge, Skills, and Abilities: * Excellent customer service skills. * Strong written and oral communication skills. * Strong negotiation skills * Strong planning and organizational skills * Ability to apply knowledge and sound judgment in decision-making using established guidelines. * Detail oriented and ability to function in a team environment. * ability to see projects and goals to completion * Strong supervisory skills. * Demonstrates ability to function in a team environment. * High level of integrity. * Able to maintain regular and predictable attendance. * Willing to accept new ideas and methods and be agreeable to change. * Proficient level of computer competency including Microsoft Windows (Word, Excel, Outlook), typing and ten-key proficient. Work Conditions: * Able to routinely stand, sit, bend and stoop. Occasionally lift or carry loads up to 40 pounds. * Ability to stand for long periods of time as needed * Frequently and regularly required movements using wrists, hands, and/or fingers. * Average, ordinary, visual acuity necessary to prepare inspect documents or products and operate machinery. * Ability to hear average or normal conversations and receive ordinary information. * Ability to travel frequently.SDL2017
