Provide outstanding client service by assisting the Workplace Manager to manage, monitor and control the Atlassian Austin, TX portfolio
Proactively develop and manage the relationship with Atlassians and specifically the Atlassian Workplace Experience team to ensure service delivery expectations are exceeded.
Under the direction of the Workplace Manager, develop and implement strategies, policies and procedures for property facilities and contract management.
Update and maintain accurate records and official documentation for all Atlassian ATX premises.
Maintain and update the Building Manuals, Business Unit and emergency response contact lists.
Assist the Workplace Manager in the preparation of property expenditure budgets, forecasting and financial reporting.
Manage incoming invoices, seeking sign off as appropriate and processing for payment.
Manage regular, periodical and ad-hoc cleaning services including conducting inspections, meeting with cleaning contractors and reporting on expenditure.
Manage vendor contracted deliverables as well as contract relationships with Indoor Plants, Office Supplies, Pest Control, Waste Disposal and Mailroom as well as any additional minor service agreements or ad hoc requirements required to support the Workplace Experience team deliverables.
Schedule and regular site inspections including raising resultant work orders through the JIRA Service Desk and tracking progress to completion. Ensure the Atlassian environment is presented to optimal standards at all times
Manage minor works requests including receiving requests from the Workplace Experience team and Atlassian Business Units via agreed mechanisms and logging with through JIRA, tracking to completion.
Seek quotations from service providers as necessary.
Under direction of the Workplace Manager, comply with all requirements of the Atlassian service contract and meet or exceed Key Performance Indicators as applicable.
Ensure compliance with all OH&S, environment and risk management policies and procedures that relate to the assigned properties.
Support of all workplace enablement functions for churn/relocation projects (eg. waste/refuse removal, freight elevator management, cleaning ) in conjunction with Workplace Experience representative
Manage the regular and accurate update of the Atlassian utilized Space Data Management tool and support the provision of scenario planning and reporting to Atlassian as required.
Generally support the Workplace Experience team in particular the Austin events resource.
Support FOH reception cover for breaks and unplanned and planned leave.
With the Workplace Manager and Experience team Communications lead, work on the regular and necessary communication of facilities related initiatives or activities that might impact in any way Atlassian’s in their environment.
