Facilities: Typical duties and required skills include: u2022u00a0Liaison and manager of office space buildouts when any of our office locations is experience expansion. This will include working with the Architect, General Contractor, Interior Designer, Property Manager, and others included in a timely office buildout. u2022u00a0Manages all facilities related functions for four office locations, to include but not limited to: working directly with building vendors, building managers, submitting facilities tickets, etc. u2022u00a0Handles details of a highly confidential and critical nature to include but not limited to: facilities records, and other records and data and acts as liaison to all internal departments and external departments such as building managers and vendors. Office Management: Typical duties and required skills include: u2022u00a0Collects and prepares sensitive information for use in discussions and meetings with the organization's staff and outside individuals such as minutes. u2022u00a0Manage Travel Portal and ensure that travel policy is being adhered to. u2022u00a0Analyzes problems, determines approach, compiles and analyzes data and prepares reports/recommendations. u2022u00a0Contacts company personnel at all organizational levels to gather information and prepare reports. u2022u00a0Works on assignments that are complex and diverse where independent action and a high degree of initiative are utilized in resolving issues and developing recommendations.u00a0 u2022u00a0Able to effectively delegate to and manage assignments for back office staff. u2022u00a0Effective communicator that keeps executive leadership up to date with the latest information and status of work and requests. u2022u00a0Good sense of when escalation of issues are appropriate. u2022u00a0Uphold a strict level of confidentiality. u2022u00a0Develop and sustain a level of professionalism among staff and clients. u2022u00a0Strong organizational, management and problem-solving skills with strong multi-tasking abilities. u2022u00a0Exceptional interpersonal skills. u2022u00a0Friendly and professional demeanor. u2022u00a0Exercises judgment within defined procedures and practices to determine appropriate action. u2022u00a0Acts independently to determine methods and procedures on new assignments. u2022u00a0Responsibility to manage back office staff and provide coverage in their absence. u2022u00a0Mentoring of members of the back office staff u2022u00a0After a reasonable amount of time expected to ownu201d the position. u2022u00a0Able to represent FEi by meeting and greeting clients, important team members, and partners from external organizations. u2022u00a0Other duties as assigned. Executive Support: Typical duties and required skills include: responsibility to run the back office providing support to the CEO. u2022u00a0Relieve and assist with complex details and administrative duties such as executive communications/memos, tracking executive calendars; public relations/event planning, executive expense report and travel arrangements, and manages all facilities related functions for our four office locations. u2022u00a0Calendar Management u2022u00a0Manage scheduling and coordination of meetings, team meetings, and individual meetings for Executives with a clear sense of urgency and accuracy. u2022u00a0Take ownership for ensuring prioritization is clear and executed against Prioritization & Time Management u2022u00a0Ability to work in a fast-paced and deadline-oriented environment u2022u00a0Able to prioritize tasks/requests in order to meet deadlines with critical attention to detailu00a0 u2022u00a0Able to be flexible and re-prioritize based on changing needs u2022u00a0Proactively communicate with teams to ensure they are aware of timelines and conflicting priorities Education and experience required: u2022BA/BS degree or equivalent experience. u2022 5 years of Office Management experience. u2022 Knowledge of spreadsheet applications (MS Excel). u2022 Demonstrated strong organizational skills. u2022 Proactive and resourceful. Self-motivated. Ability to work in a fast-paced environment. u2022 Excellent verbal communication and written communication skills. u2022 Must be detail oriented, this is critical to this position u2022 Able to interact with all levels of the corporate office. u2022 Proficient in desktop applications such as MS Word, Excel, PowerPoint, and Outlook Primary
