Job SummaryThe facilities manager is responsible for managing the design, planning, construction and maintenance of equipment, machinery, buildings and other facilities. The position plans, budgets and schedules facility modifications, including estimates on equipment, labor materials and other related costs.  Job-Specific Competencies Facilities Management: Knowledge of the full spectrum of activities in developing and maintaining physical facilities. Facility Operations & Maintenance: Knowledge of day-to-day and strategic issues, operational requirements and management of a facility. Safety: Knowledge of methods, accepted practices, considerations and regulatory requirements associated with safety and protection of workers, environment and site. Problem Management: Knowledge of and ability to identify a problem and use a disciplined approach to bringing that problem to a successful resolution. Supplier Management: Ability to effectively manage the business relationship and transactions with the suppliers of raw materials or product components. Communication: Ability to convey information and ideas through appropriate channels to individuals or groups in a manner that engages the audience and helps them understand and retain the message. Planning, Organizing and Time Management: Ability to establish a systematic course of action for self or others to ensure accomplishment of a specific objective. Sets priorities, goals, and timetables to achieve maximum productivity. Essential Job Duties & ResponsibilitiesOversees the coordination of building space allocation and layout, and facility expansion. Plans, budgets, and schedules facility modifications, including cost estimates. Manages refurbishments, renovations and office moves to make sure they all run smoothly and according to plan. Inspects construction and installation progress and communicates to stakeholders, as needed. Oversees the general upkeep and maintenance of owned buildings inside and out to ensure all health, safety, regulatory and legal standards are met. Manages the cleaning, waste disposal, security and parking of each site, while managing the budgets and keeping records of all payments. Oversees the parking program. Develops and administers the annual budget for routine maintenance and upgrades for facilities and equipment. Reports the following activities to senior management in a timely and effective manner: Exceptions to budget; root causes and remedies to problems; status of current requests and projects; critical issues that pose risk to the organization, employees and/or tenants. Manages preventive maintenance of facility equipment, including HVAC, elevators, and office equipment. Initiates approved and planned maintenance programs for owned facilities and equipment under facilities' control. Coordinates and oversees maintenance and improvement requests for leased facilities. Makes recommendations to Chief Operations Officer for and participates in critical vendor and supply management activity. Selects vendors for regular maintenance using bank approved selection process. Negotiates with outside vendors for supplies, repairs and other measures. Serves as daily vendor contact and oversight. Manages direct employed maintenance staff and outsourced building management for ANC properties involving tenants. Partners with Human Resources and facilities leadership to provide basic ergonomic assessments and remedies, as well as responses to ADA-related accommodation requests. Manages the receiving function related to building construction, maintenance and equipment. Ensures company equipment is inventoried and tracked for proper asset management. Provides oversight and direction to his/her team members in accordance with the organizations policies and procedures. Coaches, mentors and develops staff, including overseeing new employee onboarding and providing career development planning and opportunities. Consciously creates a workplace culture that is positive consistent with the organizations goals. Leads employees to meet expectations for productivity, quality, and goal accomplishment. Provides effective performance feedback through recognition, rewards, and disciplinary action, with the assistance of Human Resources, when necessary. Maintain employee work schedules including paid time off and any requested leave of absence. Maintain transparent communication as appropriate through department meetings, one-on-one meetings, and appropriate email and regular interpersonal communication. Experience, Education & Training Requirements Experience Needed: Minimum of three to five years of progressive experience and responsibility in a maintenance field, two of which were holding a supervisory position directing a multifunctional maintenance function required. Experience in developing labor & material cost estimates for major facilities projects needed. Experience managing complex projects with significant budget and timelines, overseeing and directing subcontract and vendor relationships is needed. Education, Licensure & Certification Needed:Bachelors or Associates degree with technical training in plant engineering or factory/plant maintenance is strongly preferred. Experience may be substituted for advanced education. Valid driver's license with an acceptable driving record is required. Fabricated & Manufacturers Association (FMA) certification is preferred. Skills & Abilities Needed: Ability to read and understand complex electrical, mechanical and automation systems with working knowledge of electrical, mechanical and HVAC systems is a must. A strong interpersonal and organizational skill with attention to detail is needed. Ability to travel and be accessible outside of typical work hours as needed. Strong understanding of warehouse control systems desired
