The Job

Sustainability & Facilities Manager -develops and leads Ace's sustainability program, provides global management of all construction and renovation projects, daily management of outsourced services, and provides cross functional support across the organization. Position also supports the Global Real Estate Manager by providing coverage during periods of absence and is that role's named successor.

What you'll do

  • Sustainability - Responsible for leading, developing, and implementing a long-term sustainability strategy across the organization which includes corporate locations, regional distribution centers, cross docks and import facilities. The scope of the strategy includes initiatives to reduce waste, lower the demand on utilities and report on program results to senior leadership, team members and retailers
  • Relationship Management - Responsible for motivating internal and external business partners to enhance approaches and processes, and to provide effective guidance to foster change and innovation. This is accomplished by functioning as a subject matter expert in a wide range of business processes including sustainability, building operations, move management and project management. . In addition, this individual will need to present their strategies, recommendations, and ideas to the Global Real Estate Manager, Upper management, vendors, and other stakeholders
  • Vendor Services - Responsible for the selection of outsourced service vendors and the day to day management and oversight of the service they provide at the corporate campus and Woodridge facilities. The scope includes mail room services, cafeteria and catering services, coffee and vending services, and energy consultant services. This is accomplished by preparing requests for proposal, interviewing and qualifying candidates, negotiating term and conditions of service, and implementing and communicating the program. This includes creating standard operating procedures, monthly status meetings to review deliverables are being met, and invoice approval
  • Project Management - Responsible for providing global support to all construction and renovation projects throughout the organization. The scope includes all corporate locations, regional distribution centers, cross docks and import facilities, and International locations in China, Dubai and Panama. This includes contributing to the development of a project budget, managing expenses to that budget, conducting and communicating project status and commissioning the project.
  • Back-Up Support - Responsible for proving support to the Global Real Estate Manager. The scope includes providing guidance and support to the Facility Managers related to facility standards, development of their sustainability plans, energy management program, managing lease provisions, and assisting with the contract review process. Also responsible for providing back-up coverage to the Global Real Estate Manager during periods of absence and is the named successor to the Global Real Estate Manager.
  • Budget Management - Responsible for providing input in preparing annual department budgets and managing expenses to those budgets. The scope includes both capital and operating expenses for ongoing and new requirements. Also, providing ongoing analysis of expenses to budget, investigating and explaining variances and acting to resolve any problems discovered to preserve budget integrity .
  • Policy Management - Responsible for creating, implementing and overseeing corporate policies and business practices as they pertain to facility operations, including the Woodridge facility handbook, Building Rules & Regulations for vendors, and Property Guidelines .
  • Records Management - This individual will be the central point of contact and responsible for the daily administration of our Records Management policy and program. The scope includes all records retained in off-site storage with our vendor partner, all records being stored at the regional distribution centers and all hard copy records being held in Oak Brook and Woodridge. They will be expected to participate in regular RM Committee meetings, monitor for program compliance and train staff on proper records procedures
What you need to succeed
  • College degree plus a minimum of 3-years' experience in facility operations or related field
  • Certified knowledge in sustainable practices from an accredited institution or industry group
  • Experience leading a committee or counsel in sustainability or other facility initiatives
  • Skilled in the use of Microsoft Office (incl. Excel, Word, Outlook, PowerPoint and Project)
  • Demonstrated history of implementing sustainable projects and developing sustainability strategies
  • Proven leadership ability with diverse teams in a collaborative group setting
  • Ability to consistently and effectively manage time, resources and budget when working on projects up to and including commercial industrial renovation projects
  • History of managing outsourced vendor services such as mail, cafeteria and vending, and janitorial
  • Demonstrated ability to convey confidence and authority when speaking to large groups including senior leadership
  • Ability to share information, transfer knowledge and seek diverse input from others within the team and across the organization
  • Ability to be proactive and resourceful in solving problems, to make solid decisions, and to take appropriate risks
  • Ability to demonstrate functional expertise, work within budget, follow through on commitments, and produce quality results
