This positionâ€™s primary function is as a Facilities Generalist assisting various departments with space coordination, project/construction management, and various maintenance administrative functions.The Coordinator acts as liaison between Facilities staff, subcontractors and clients for Facilities related functions. In addition, this position will work with technical leads and technicians to prioritize and coordinate work according to facility requirements.
Assist Facility Management with Strategic Space Definitions and Planning.
Coordinate space for new hires and enter information into M&R and Recon.
Coordinate employee move requests.
Develop monthly, quarterly, on demand reports for Planning, Maintenance, Space and other departments for submission to customers both internal and external.
Examines and measures facilities to determine square footage.
Generate deliverables matrix to track timeline compliance regarding project milestones. Post weekly project status reports/graphs.
Review of Facility processes to identify opportunities for waste reductions and cost savings.
Update building maps to include specifications, SharePoint interface, telephone, etc.
Working with various departments, lead work teams to define Facility Processes, Procedures and Policies.
Utilize Facility Maintenance System (Archibus/FM Works) to record work order classification, priority, activities and trade.
Analyze and report FM Works data for all maintenance requests (PM, Emergency, Service, T-Call) such as: overdue, backlog, received/completed statistics and additional reports as requested for monthly reporting.
Input data and PM schedules into the FMS for later work.
Coordinate documents for Technical Leads to utilize for work.
Collaborate with Technical leads and technicians to properly execute work orders including material management, task estimating for budgetary approval and customer communication.
Establish resource needs for reporting disciplines (Emergency Requests, Preventative Maintenance, Large Projects, Work Requests, T-Calls), and help to balance work and resource availability.
Work with the Supervisor, Leads, Technicians, Materials and Procurement to ensure accurate and timely communication with the requestor(s) regarding status of work orders such as: awaiting parts, on hold, or that have been rescheduled
Perform under minimal supervision and exercise independent judgment in problem resolution
Comply with and enforce company policies and safety practices, procedures and guidelines such as job hazard analysis, lockout/tagout, and use of PPE.
Be flexible in the day-to-day activities and shift scheduling for the benefit of the customerâ€™s mission.
Well versed in Microsoft Word, Excel, PowerPoint, and Visio.
Experience using FMS software â€“Archibus/FM works
Experience using SAP/JD Edwards
Autocad experience desired.
Knowledge of building construction and drafting.
Excellent written, communication and presentation skills
Detailed oriented with solid analytical skills
Self-motivated, organized, creative and good leadership skills
Ability to multi-task in a fast paced environment
Organized, time management skills, ability to deal with ambiguity
Experience with Lean, 5S or other Continuous Improvement methodologies
Bachelorâ€™s Degree in Facility Management required.
This position may be filled at a higher grade based on the successful applicant's skills, education and experience.
