Overview

The Facilities Manager is responsible for planning, coordinating, overseeing, and performing the day-to-day interior and exterior maintenance operations and janitorial duties of their assigned facility/building to ensure a clean, sanitary, safe and secure environment in accordance with Agency policies, licensing standards, and federal, state, and local regulatory requirements. The Facilities Director at the Corporate office will have some oversight of this position, as it relates to major renovations, repairs, and maintenance needs.

Responsibilities

Essential Duties

  • Work closely with the Director of Facilities to plan, coordinate, and execute major renovation projects, repairs, and maintenance needs in accordance to Agency polices
  • Maintain facility/building plumbing, ventilation, air conditioning (HVAC), and lighting to ensure it's operational
  • Oversee grounds keeping, such as landscaping, outdoor lighting, trash removal to ensure a safe and clean facility/building exterior
  • Perform troubleshooting, diagnosis, repairs, and adjustments of locks and doors, cabinets, desks, closets, and appliances
  • Provide maintenance services to existing residents and/or staff and maintain the up-keep and cleanliness of common areas and exterior of facility/building
  • Ensure the property is operating in compliance with all agency policies and federal and state regulatory laws, and safety standards
  • Oversee, manage, and complete ongoing evaluation of maintenance needs and services; perform regular maintenance and repair throughout the facility/building
  • Create, manage, and maintain a weekly, monthly, and annual cleaning and inspection schedule to ensure facility/building meets cleaning, sanitary, maintenance, and safety standards
  • Periodically inspect and record the results of the safety check of sprinklers, alarm systems, emergency generators, smoke detectors, emergency and exit lights, and other facility/building equipment
  • Prepare and schedule daily work assignments according to priority and meet weekly, monthly, and annual maintenance and cleaning standards; inspect work to ensure it is completed in a timely manner
  • Ensure appropriate supplies, materials, and equipment are available to complete work assignments and projects; order supplies and material as needed
  • Inspect and maintain property equipment to ensure it is operational and meets safety and quality standards; provide repair when needed; oversee preventive maintenance on equipment
  • Ensure the facility/building is free of hazardous conditions by regularly inspecting building equipment, completing major and minor repairs, checking electrical, lighting, plumbing, and heating and cooling systems
  • Complete compliance inspections and reporting in accordance with regulatory standards and agreements; log maintenance issues
  • Conduct facility/building inspections to determine maintenance needs and compliance with federal and state regulatory laws
  • Follow up on all maintenance requests to ensure they are completed in a timely manner and according to resident and/or staff expectation
  • Manage agency vehicle(s) to ensure proper and regular maintenance, inspections, and licensing is current and up-to-date
  • Assist with moving and setting up furniture and equipment within facility/building
  • Paint and perform general carpentry and repair work; assemble furniture, complete remodeling and installation projects, as needed
  • Provide emergency and on-call services, as needed


Staff Management and Development
  • Provide ongoing support and coaching to all direct report staff to ensure the department and maintenance and janitorial tasks are operating effectively and efficiently in accordance to established goals and objectives
  • Interview, hire, and train new staff and develop and implement ongoing staff development trainings
  • Coach and support staff to ensure they have the necessary tools and resources to optimize performance and ensure established tasks and goals are achieved on time and within budget
  • Regularly review employee performance and provide supportive and constructive feedback
  • Complete, conduct and submit the 90-day and annual performance evaluations per the established due date

Working Relationships
  • Develop and maintain strong working relationships with program management, staff, residents, volunteers, community partners, and vendors
  • Work closely with the Director of Facilities, program management, and other staff to ensure the facility/building is operating properly and is clean and safe and meets the needs of the residents and/or staff and department and organizational objectives and goals
  • Work as a team player and exhibit professional behavior and a positive attitude with both internal and external clients that reflects positively on the Agency and is consistent with Agency policies and practices


Qualifications

Minimum Qualifications
  • High School diploma or GED equivalent
  • 3 years' demonstrated maintenance and repair experience
  • Considerable knowledge of tools and equipment associated with building maintenance and construction trades
  • Considerable knowledge of safety standards and precautions pertaining to facilities and buildings maintenance and repair
  • Ability to operate tools, including power tools and equipment of building maintenance and construction trades in safe and effective manner
  • Strong verbal and verbal communication skills with the ability to establish a positive rapport with others
  • Ability to communicate using a radio and hear over equipment noise
  • Strong interpersonal skills with the ability to work with diverse groups of people at all levels
  • Demonstrated experience with carpentry, plumbing, electrical, and heating and air (HVAC)
  • Demonstrated experience working with tools and equipment associated with building maintenance and construction trades
  • Strong time management and organizational skills with the ability to prioritize tasks and complete them in timely manner

Preferred Qualifications
  • Associates degree in Environmental Services or closely related field
  • 5 years' demonstrated maintenance and repair experience
  • HVAC certification


Physical Demands & Work Conditions
  • This position will require constant bending, kneeling, twisting, stretching, and reaching, climbing up and down ladders, frequent walking, occasional sitting, and standing for long periods of time
  • Position works in a facility with and around children on a regular basis
  • Lift, push, pull, move up to 100 lbs.
